Job Title: Case Manager / Notary – Estate Planning

Position Overview: 


We are seeking a detail-oriented, professional Case Manager/Notary with prior estate planning experience to join our team. This fully on-site role involves supporting attorneys in managing client matters from intake to final document execution, ensuring seamless communication, accuracy, and follow-through.

Key Responsibilities:

• Serve as a primary point of contact for clients throughout the planning process
• Manage case files, timelines, and documentation with high attention to detail
• Coordinate signing appointments and notarize estate planning documents
• Draft and prepare basic correspondence and forms as directed by attorneys
• Communicate with financial institutions and government agencies as needed
• Maintain confidentiality and uphold firm standards of excellence in client service

Qualifications:

• 1–3 years of experience in estate planning or a related legal field
• Current California Notary Public commission (or willingness to obtain)
• Excellent organizational and communication skills
• Proficient in Microsoft Office and comfortable with legal practice management software
• Professional demeanor and a client-focused attitude

Schedule:

• Full-time, fully on-site in Palo Alto
